The association had planned a Board Meeting last Thursday to discuss some topics that have been on hold since everything shut down back in March. Many members submitted concerns the week of the meeting, mostly the afternoon before, which prompted the board to hold off on the discussions until we can hold in person meetings. The board made this decision because it became very apparent that many members were under the impression that items were to be discussed and voted on in a meeting format that did not allow them to voice their concerns. This was not their intent.
The board understands that this community belongs collectively to all of us and wants to hear input from members before making a decision on something that will affect the association as a whole.
When the rule change notice was mailed to all members in March it announced a meeting date for when the new rules and fines policy was to be on the agenda so that it could be discussed with the membership before any vote took place. That meeting was postponed as the notice was mailed just days before the shelter in place and social distancing order was announced.
It became obvious the day before Thursdays meeting that many members had input to provide on the rule changes and were looking for the opportunity to voice their opinion in open forum.
With this revelation the board realized that the scheduled one way, phone in zoom meeting was not going to be adequate and a new meeting date would need to be set so that an open discussion can take place between the board and association membership on agenda items. The board will then be able to take into account member feedback and modify the rules if necessary before a vote takes place.
Other topics of discussion that will be added to the new meeting agenda will be the revised draft of our governing documents and the current status of the blocked P & E Trail easement by the new Airola Ranch fence line.
Before a new meeting can be scheduled the association will have to wait until the governor mandates that we are able to hold events that can accommodate the amount of people that may possibly attend a meeting in Black Creek Hall and all social distancing rules that may apply.
New information involving social distancing is evolving on a daily basis, so as soon as we receive the green light to resume meetings safely, we will get the date scheduled for a new open board meeting and announce to the membership immediately.
